In plant hire with operators, everything rests on one document: the job ticket. It proves the work was done, and it triggers the invoice. Yet it is still filled in by hand, in a carbon book, inside the cab of an excavator. RUBLA is the app Nova Studio built to replace that book with the operator's phone.
In short
- The product: RUBLA, a job ticket app for plant hire companies with operators
- The observation: Paper tickets get lost, become unreadable and reach the office days after the job
- The answer: A ticket filled in on mobile, signed with a finger by the customer and sent as a PDF as soon as the job ends
- The impact: No more re-keying, and an office that can invoice as soon as the ticket is signed
1. The context: a paper ticket that slows the whole chain down
Every job an operator does is validated by a ticket signed on site by the site manager. On paper, the principle is simple. In practice, the ticket spends the day in a cab, in the rain or the dust, then in a pocket.
Some get lost. Others come back unreadable. Most reach the office several days after the job, when the operator drops by the depot. They then have to be re-keyed one by one before anything can be invoiced.
The result: invoicing waits for paper, the office has no visibility on what happened during the day, and a lost ticket can turn into a job that cannot be justified.
2. The goal: a 100% mobile ticket, as simple as paper
The brief fitted in two sentences.
For the operator, filling in a ticket had to stay as simple as the carbon book: no training, no complicated tool, a few taps at the end of the job.
For the office, it needed a real-time view of every ticket in the company, without waiting for the paper to come back.
3. The solution: two interfaces, one ticket
For the operator, on their phone
The operator installs no app. RUBLA opens as a web page, and login works with a code received by SMS. No password to remember.
A ticket is filled in four steps:
- The info: customer, site, machine and date
- The details: package, quantity, notes, and up to five photos
- The signature: the site manager reviews the summary and signs with a finger on the screen
- The sending: a numbered PDF is generated, locked, then emailed straight away to the customer
Every step is saved automatically. If the operator is interrupted halfway through a ticket, they pick it up later exactly where they left off.
For the office, in the back office
The back office is designed to show at a glance what needs action.
- A dashboard of items to handle: PDF not generated, email not delivered, incident reported, forgotten draft
- A map of today's sites, to see where the crews are working
- Search and filters across every ticket, with a ZIP export bundling the PDFs and an Excel summary
- Correction of a signed ticket, with a full audit trail: author, date, before and after values, and reason for the change
- Share links to send by WhatsApp or SMS, revocable at any time
- Management of operators, customers, sites and machines, with three roles: owner, administrator and operator
A real SaaS, not an internal tool
RUBLA was not built for a single company. Several hire companies use it, each in its own isolated workspace. The monthly subscription, priced per company and per operator, is taken out and managed directly in the app, with no sales call needed.
Stack and security
- Stripe for subscriptions
- Twilio for SMS login codes
- Resend for emails and PDFs
- IGN Géoplateforme and Base Adresse Nationale for maps and address entry
Data is hosted in Europe. Isolation between companies is enforced by the database itself, not just by the application code. Files (PDFs, photos, signatures) stay private and are only reachable through temporary links.
4. The result
- No more lost tickets or re-keying: the ticket is signed, archived and sent to the customer as soon as the job ends
- Invoicing without the wait: the office sees every ticket the moment it is signed and can invoice without waiting for paper
- No server to manage for the business owner: everything runs on managed services
Do you have field work that needs the right tool?
RUBLA shows how we work: start from one precise everyday action, here signing a ticket, and build around it a tool crews use without any training.
We design and build your app end to end, without you having to hire an engineering team. Let's talk about your project.
