1. The starting point: scoping the tool around the field
Running a plumbing business alone demands flawless organisation. Between emergencies, ongoing jobs and client relationships, SirPlomberie was juggling generic tools that never talked to each other.
Scoping surfaced three points of friction, which defined the scope of version 1:
- No way to prioritise jobs in real time.
- The time spent turning a client request into a job sheet.
- No single place to see the schedule and profitability.
The goal was not to digitise existing processes but to design a tool that genuinely lightens the day. Screens were signed off before development, under one constant constraint: this would be used from a van, between two jobs.
2. Building: fewer clicks, automated data entry
Every screen was designed for field use rather than functional completeness.
AI on data entry and scheduling
Instead of rigid forms, an AI agent works in the background: it reads incoming client messages, pre-fills job sheets and suggests slots that fit the existing schedule. That was where the most time was lost, so that is where AI had the most to give. Elsewhere in the product, it is absent.
The stack
- Next.js for an instant interface, including on the move with an average connection.
- PostgreSQL for a structured database covering clients, jobs and quotes.
- LLM features for automatic data extraction and help writing job reports.
3. At delivery: a tool he owns
The SaaS went live with the full codebase, documentation covering the architecture and how to take the project over, an onboarding session, and two months of maintenance during which field adjustments were folded in.
The results:
- Time saved: 15 fewer hours of admin per week, the equivalent of two extra days on site.
- Operations: immediate visibility on priority jobs and the status of each case.
- Data entry: creating a client record takes seconds instead of minutes.
